The Kindle makes an excellent reference guide with its instant on capability and portability. Take advantage of this by creating your own reference documents. The documents you can create and send to your Kindle are limited only by your imagination and needs.
Have a big trip coming up? Copy your reservations for airfare, hotel, rental car, meeting information, and contact information into a trip document. Put your favorite recipes (or create your own cookbook!) on your Kindle.
The key is to be able to quickly and easily get this information to your Kindle. This article will show you how you can do this!
It all starts with Microsoft Word. Open Office and other word processors may have equivalent capabilities, but I have not looked at these programs.
The only other tool you will need is the “Send to Kindle for PC” application from Amazon. Download the application and install on your computer.
You will need to spend some time creating a template in Word. Once the template is created, it is simple to use the template to create your documents.
There is one issue in using this shortcut method, but it is purely cosmetic. Clicking a section in the Table of Contents, or using the five-way nav button, the section headings will show as normal text formatting. When you page through the ebook the formatting will look as expected. If this is not acceptable you will need to follow the full path from Word to Sigil to Kindle Previewer as explained in my book “Ebook Creation – Tools & Process”.
Create the Template
The template can be simple – even for complex personal documents that you may create. For this article I will create a template for traveling.
The template consists of the following components:
– Appropriate Styles
– Defined sections or chapters to insert text
– Word generated Table of Contents
Depending on how your installation of Word is configured, you may not have to change any of the styles. The Kindle is limited in the formatting available, so keep it simple. I am assuming that you are familiar with Word and the use of styles. If you are not, spend some time with the help files or tutorials that are available. It is pretty simple once you get the basics down.
Following are the styles that you will be using for your document. All but Code are already defined in Word:
– Heading 1 – for section headings. This defines the Table of Contents.
– Normal – regular text
– Strong – bold text
– Emphasis – italic text
– Intense Emphasis – bold and italicised text
– Code – create this style, based on Normal style. Use font Courier New. This is for text you paste into the document that has to line up. Courier New is a mono-spaced font.
In a new Word document,type the following headings, clicking enter twice after each one, so there is a blank paragraph between each heading. These will become section headings and will generate the Table of Contents.
– Table of Contents
– Rental Car
– Other Transportation
– Hotel Reservations
– Restaurant Reservations
– Meeting Information
– Recreation Information
Select these headings, and apply the style “Heading 1” to them. Make sure that the blank paragraph between headings is styled as Normal.
Table of Contents
Put your cursor on the blank paragraph just below the heading Table of Contents.
Click on the References tab, and choose Table of Contents , Insert Table of Contents.
Uncheck the box for Show page numbers, and check the box for Use hyperlinks instead of page numbers.
Set the Show levels box to 1.
Click OK and you will see the Table of Contents generated.
Save this document, either as a regular Word document or as a template.
Create Your Document
If you saved the template as a regular Word document, just copy the document to a new name when you want to create a new document.
If you save it as a template, to create a new personal document just open Word and click the Office button and choose File, New and choose the template.
Cut and paste the information into the document. For consistent results do a Paste Special and paste as Unformatted Text into the Word document. Save your document and you are ready to send it to your Kindle.
Send to Kindle
The best way to use the Send to Kindle for PC application is through Windows Explorer.
In Windows Explorer, navigate to the folder that contains your document.
Right-click on the file, and choose Send to Kindle.
Open up your Kindle and you have your document!
